Weather, Air Quality & Schedule Changes Policy
1. Safety Decisions
The League may delay, relocate, reschedule, modify, suspend, or cancel practices, games, tournaments, or other activities due to lightning, severe weather, unsafe fields, excessive heat or cold, smoke, poor air quality, public health restrictions, facility closures, or other safety concerns. Coaches, game-day officials, participants, and spectators must follow League safety directions and applicable facility rules. Participant safety takes priority over maintaining the originally published schedule.
2. Makeup Games and Scheduling Adjustments
For weather-related game cancellations, the League will make reasonable efforts to offer one makeup game opportunity per season, provided suitable facilities, staffing, schedule availability, and safe conditions permit. This is a season-wide makeup opportunity, not a guarantee that every canceled game will be replaced. If circumstances outside the League’s reasonable control make even that opportunity impracticable, the League is not required to provide it, subject to its applicable refund and cancellation obligations.
When multiple cancellations occur, the League may, at its discretion, schedule doubleheaders, change game times or dates, use alternative venues, extend or modify the season schedule, or make other reasonable adjustments. Additional makeup games are not guaranteed. The League will make good-faith efforts to recover lost play when practical but cannot guarantee rescheduling where circumstances are beyond its reasonable control.
3. Refunds and Cancellations
Weather disruptions, canceled games, season interruptions, and any related refund or future-credit requests are governed by the League’s Registration Refund & Future Credit Policy, the applicable Force Majeure Cancellation Policy, and the cancellation or force majeure provisions of the Player Registration Agreement, to the extent those policies were properly provided and accepted. Those policies are incorporated by reference as applicable.
An isolated cancellation or change of schedule does not automatically establish an additional refund or credit entitlement. If a substantial portion of a season cannot be delivered, the League will evaluate remedies under those policies and applicable law. Nothing in this Weather Policy limits nonwaivable legal rights or overrides a refund otherwise owed.
4. Communication and Notification
The League will make reasonable efforts to communicate delays, cancellations, relocations, and revised schedules as promptly as practicable through its authorized channels, which may include PlayMetrics, email, text messages, and the League website. Families are responsible for monitoring official League communications and checking for updates before traveling to an event.
Merchandise Policy
1. Included Jerseys and Flags
A team jersey and flag belt or flags are included in the applicable division registration price, as described at checkout. The specific items included in a registration package will be identified during enrollment.
2. Distribution at Meet-and-Greet
The League intends to distribute jerseys, flags, and additional merchandise purchased during registration at the scheduled team meet-and-greet. If an item is unavailable, a meet-and-greet is not held, or logistics require a change, the League will communicate an alternative pickup or delivery arrangement. Distribution timing and methods may vary by league or location.
3. Sizing and Customized Jerseys
Parents and guardians are responsible for selecting and confirming jersey sizes, player information, and optional lettering before the stated ordering deadline. A jersey customized with selected lettering is non-returnable and non-refundable once customization or production has begun due solely to a change of mind, incorrect size selected by the purchaser, or a change in player preference, except as required by applicable law. The League will address manufacturing defects and errors caused by the League or its suppliers as described below.
4. Defective, Damaged, or Incorrect Merchandise
If an item arrives damaged, defective, or different from what was ordered, contact the League promptly through its published customer-service or registration-support channel and provide the participant’s name, league, item description, and supporting photographs if available. The League will review the issue and arrange a reasonable correction, replacement, or refund, as appropriate under the purchase terms and applicable law. This provision does not limit legally required remedies.
5. Optional Merchandise and Separate Purchases
Additional merchandise purchased during registration is subject to the item descriptions, pricing, customization disclosures, and sale terms presented at checkout. Personalized or custom-made items generally cannot be returned after production begins for reasons unrelated to a defect or fulfillment error, subject to applicable law. Any applicable processing, shipping, or delivery charges will be disclosed before purchase.
6. Withdrawals and Registration Refunds
Refunds of division registration fees, including where uniforms have already been ordered, are governed by the separately presented Registration Refund & Future Credit Policy. This Merchandise Policy does not modify the refund tiers, cancellation exceptions, or mandatory rights provided in that policy or applicable law. Refund treatment for separately purchased merchandise is governed by its disclosed sale terms and applicable law.
Personal Information Policy
1. Organizations and Scope
UAL Sports (the “Program Sponsor”) offers the youth sports programs covered by this Policy. Rise Athletic Outreach, Inc. is the proposed new name of UAL Sports; the name change is not yet effective and does not identify a separate organization. Ultimate Athletic League (the “League Operator”) is a separate company providing authorized league administration and operations. Together, they may be referred to as the “League Parties.” “League” means the applicable sports program and its authorized administrators; it does not combine the companies into one legal entity.
2. Collection and League-Related Uses
The League uses registration and contact information for team formation, team rosters, practice and game schedules, uniform coordination, family communications, eligibility and athlete safety, customer service, and other legitimate program activities, consistent with the published Privacy Policy.
3. Limited Sharing for Team Purposes
Appropriate participant and parent or guardian information may be shared with assigned coaches, authorized league personnel, contracted service providers, and authorized team contacts only to the extent reasonably needed for league functions. Team roster and practice coordination may require limited sharing. Team-wide contact directories and voluntary carpool arrangements will use an opt-in process where appropriate, and participation in those arrangements is not a condition of league enrollment unless separately disclosed and lawful.
4. Privacy and Protection
The League will not publicly post children’s home addresses, full birth dates, medical information, or private guardian contact details in public team rosters. Access to nonpublic contact details will be limited to people with a legitimate league-related need. Families and team contacts should use approved communication channels and respect the privacy of other participants.
5. Sale of Personal Information
The League does not sell personal information as described in its published Privacy Policy. This statement must be confirmed against the League’s actual website, registration, advertising, analytics, and vendor practices before publication, including any legal definitions of sale or sharing that apply.
6. Privacy Policy and Requests
The League’s published Privacy Policy is incorporated by reference to the extent made available to families during registration and permitted by law. That policy explains the League’s data practices and available privacy rights. Families may contact the League through the privacy contact channel identified in the published Privacy Policy to raise questions or request appropriate correction or access.
Registration Accuracy, Eligibility & Falsification Policy
1. Accurate Registration Information
The integrity, fairness, and competitive balance of our youth sports programs depend on the accuracy and truthfulness of information provided during registration.
All parents and legal guardians are responsible for providing complete, truthful, and accurate information when registering a participant. This includes, but is not limited to, the participant’s legal name, date of birth, age, school enrollment, grade level, residency information when applicable, and any other information used to determine eligibility or team placement.
By completing registration, the parent or legal guardian certifies that all submitted information is accurate and agrees to promptly notify the League of any changes or errors that could affect the participant’s eligibility.
2. Team Formation and Eligibility Requirements
Teams are organized based on school affiliation, age, grade appropriateness, and applicable League rules and eligibility requirements.
These standards are established to promote fair competition, appropriate player development, and consistency across participating teams and divisions.
The League reserves the right to establish, interpret, verify, and enforce eligibility and placement requirements, including assigning or reassigning participants when necessary to maintain compliance with League rules.
Registration does not guarantee placement on a particular team, with a specific coach, or alongside requested teammates.
3. Verification of Registration Information
The League reserves the right, at any time before or during a season, to request reasonable documentation verifying a participant’s eligibility.
- Proof of age or date of birth.
- Verification of current school enrollment.
- Confirmation of grade level.
- Proof of residency when required by applicable program rules.
- Other reasonable documentation necessary to establish eligibility.
Parents and legal guardians agree to provide requested documentation within a reasonable timeframe established by the League.
All documentation will be handled in accordance with the League’s Privacy Policy and applicable law. The League may temporarily restrict participation while a material eligibility concern is being reviewed.
4. Falsification or Misrepresentation
Knowingly providing false, altered, misleading, or intentionally incomplete registration information is strictly prohibited.
Examples include misrepresenting a participant’s age, grade, school enrollment, or eligibility status; submitting altered documents; or intentionally withholding information to secure an improper team or division placement.
If the League determines, following reasonable review, that a parent, guardian, or participant knowingly falsified or intentionally misrepresented material registration information, the League reserves the right to take appropriate action, including:
- Immediate removal from the assigned team or division.
- Reassignment to an appropriate team or division, when available.
- Suspension or disqualification from League participation.
- Removal from the current season.
- Restrictions on future registration or participation.
- Denial of registration refunds or future credits, consistent with the League’s Refund & Future Credit Policy and applicable law.
Intentional falsification of material registration information may result in removal from the program without a refund or future credit, to the extent permitted by applicable law.
5. Failure to Provide Verification
Failure or refusal to provide reasonably requested eligibility documentation within the timeframe established by the League may result in suspension, reassignment, or removal from the program.
Before imposing a final penalty, the League may provide a reasonable opportunity to correct inaccurate information, submit missing documentation, or explain a discrepancy.
The League may distinguish between an inadvertent administrative error and intentional misrepresentation when determining the appropriate response.
Refund eligibility following removal will be determined under the League’s Refund & Future Credit Policy and applicable law.
6. Relationship to Refund Policy
This Registration Accuracy, Eligibility & Falsification Policy shall be administered consistently with the League’s published Registration Refund & Future Credit Policy, which is incorporated herein by reference.
Participants removed due to substantiated intentional falsification or deliberate misrepresentation may be ineligible for registration refunds or future credits, subject to applicable law.
Nothing in this Policy eliminates refund rights that cannot legally be waived.
Privacy Policy
1. Purpose, Organizations and Scope
UAL Sports (the “Program Sponsor”) offers the youth sports programs described in this Policy. UAL Sports is proposing to change its legal name to Rise Athletic Outreach, Inc.; until that change becomes officially effective, Rise Athletic Outreach identifies the proposed future name of UAL Sports and not an additional organization. Ultimate Athletic League (the “League Operator”) is a separate company contracted to perform authorized league operations and administration.
This combined Policy describes how information is collected, used, shared, stored, and protected in connection with league websites, registration, participation, team coordination, events, and communications. The Program Sponsor and League Operator may be called the “League Parties” together, but they remain separate companies and handle information according to their respective responsibilities. “League” means the applicable youth sports program and its authorized administrators.
This Policy replaces the separate short Team Roster & Personal Information Sharing notice for the covered services. It should be presented alongside the Player Registration Agreement, Refund & Future Credit Policy and other applicable policies. Third-party websites linked from League services may follow their own privacy policies.
2. Information We May Collect
Depending on which services families use, the League Parties and authorized vendors may collect information in the following categories:
- Parent/guardian information: name, email, telephone number, mailing address, account details, and communications.
- Participant information: name, age or birth date, grade, school when relevant, division, team preference, roster and eligibility information.
- Operational and safety information: emergency contacts, authorized pickup contacts, necessary medical or accommodation information, incident reports, and required eligibility records.
- Transaction and service information: registration, merchandise selections, payments and refund status, purchases, and support requests. Payment-card details may be handled by a payment processor; actual storage practices must be verified.
- Technical information: IP address, device/browser type, operating system, referral pages, usage details, cookies and similar technologies, where deployed.
- Optional submissions: photographs, video, optional directory or carpool information, and promotional preferences only as authorized and applicable.
3. How Information Is Used
Information may be used to register participants; verify age, grade and other eligibility criteria; organize teams and rosters; schedule practices and games; fulfill uniforms and purchases; process payments and refunds; communicate with families; support athlete safety and accommodations; prevent fraud; respond to inquiries; enforce league rules; and comply with legal and recordkeeping obligations.
Communications essential to participation may include schedules, safety notices, account messages and service announcements. Optional marketing or promotional communication will use applicable notice, consent and opt-out practices.
4. Team Rosters, Practices and Carpool Information Sharing
Limited participant and guardian information may be made available to assigned coaches, authorized team managers, League staff, and service providers when reasonably necessary for team formation, attendance, practice and game coordination, team communications, and participant safety.
Roster access should be limited to authorized people. Children’s home addresses, full birth dates, medical details and private guardian contact information must not be placed on publicly accessible rosters. Nonpublic contact details should be shared only when legitimately needed.
Optional team-wide contact directories, parent-to-parent contact exchanges and carpool coordination will be opt-in where appropriate. Families should not redistribute another family’s contact details or sensitive participant information outside authorized team purposes.
5. Sharing With Vendors, Other Parties and Authorities
Information may be disclosed to the League Operator, registration and payment service providers (including PlayMetrics where used), uniform fulfillment companies, authorized coaches and administrators, insurers or medical/safety providers when necessary, and other service providers assisting League activities, subject to reasonable confidentiality and data-security arrangements.
Information may also be disclosed where required by law, valid legal process, safeguarding duties, or reasonable action to protect people, rights or property. In a lawful restructuring or transfer, relevant records may transfer subject to applicable legal requirements and appropriate notices.
The League Parties do not authorize unrestricted public release of private rosters, contact lists or children’s sensitive information.
6. Personal Information Sales and Advertising
The League Parties’ stated policy is not to sell families’ personal information. Before publication, the League must confirm that this statement is accurate under applicable legal definitions of “sale,” “sharing,” and targeted advertising, including practices involving cookies, analytics, advertising pixels, third-party SDKs, sponsorships, and platform vendors.
If any tracking or advertising activity constitutes a regulated sale or sharing, the final published notice must describe that activity and provide required choices rather than make an inaccurate blanket promise.
7. Cookies, Analytics and Technology
Websites and registration systems may use cookies or comparable technologies for essential functionality, account access, fraud prevention, performance measurement, preferences, or—only if actually implemented—analytics and advertising. Certain settings may be controlled through browsers or any legally required consent or opt-out mechanism.
Actual analytics, advertising, payment and registration vendors must be inventoried before publication. The League should not state that Google Analytics or any particular advertising technology is in use unless confirmed.
8. Children’s Privacy and Parental Control
Accounts and registration for minors should be created or managed by parents or authorized guardians. Children under age 13 should not independently create League accounts. The League Parties will review whether any online activity collects information directly from children under 13 and, where the Children’s Online Privacy Protection Act (COPPA) applies, provide the required notice, verifiable parental consent, and relevant rights.
Parental registration or payment does not automatically satisfy every COPPA consent requirement. Parents may request appropriate access, correction or deletion of a child’s information, subject to lawful retention, safety and other exceptions.
9. Photographs, Video and Promotional Use
Photos and recordings may be created as part of ordinary event operations. Any optional promotional use of a child’s identifiable image should be addressed through a separate, understandable media release or opt-in when required or chosen by League policy. Families who decline optional promotional uses should not be treated as having consented through acceptance of this Privacy Policy alone.
10. Security and Data Minimization
The League Parties will use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, and will restrict access to staff and providers with legitimate duties. Sensitive eligibility, safeguarding and health records should have limited access and secure transmission or storage.
No method of online transmission or storage can guarantee absolute security. Specific claims about encryption, payment-card storage, security certifications, or hosting locations must be confirmed with the actual service providers.
11. Retention, Correction and Deletion
Information will be kept for the duration reasonably needed to administer programs, maintain necessary records, satisfy legal, tax, insurance, safety and accounting requirements, resolve disputes, and comply with legal holds. Records will be deleted or deidentified when no longer required under the adopted retention schedule.
Families may request correction of inaccurate information or inquire about access or deletion. Some records may need to be retained for legal or safeguarding reasons. [Insert verified privacy email/contact and mailing address.]
12. Privacy Rights by Location
Depending on applicable law and residence, individuals may have rights to access, correct, delete, obtain copies of, or limit certain uses of personal information, and to opt out of specified sales, sharing, targeted advertising or marketing. Requests will be handled after appropriate identity verification and within legally required timeframes.
If data processing is subject to laws outside the United States, including GDPR, additional disclosures and rights may apply. This Policy does not claim those laws govern all League activities or that specific rights apply to all users.
13. Third-Party Links and Service Providers
Links to external sites, including independent sports organizations or service providers, may direct users to services governed by separate privacy practices. The League Parties do not control those independent privacy statements. Families should review linked sites’ practices before submitting information.
14. Changes to This Policy
The League may update this Policy prospectively and display a revised effective date. Material changes will receive additional notice or consent where required by law. Acceptance of this Policy does not waive nonwaivable privacy rights.
Refund Policy
1. PARTICIPANT COMMITMENT AND SCHEDULING
Registration constitutes a commitment to participate in the selected league and season. Participants and families acknowledge that activities, including practices and games, require a reasonable weekly time commitment. Families should review schedules carefully before registering.
Refunds or credits will not be automatically provided for personal scheduling conflicts, conflicts with other activities, missed practices or games, family vacations or travel, changes in interest, or other voluntary withdrawals. Any such request remains subject to the standard refund schedule below.
2. TEAM PLACEMENT AND COACH REQUESTS
the League will make reasonable efforts to honor requests for specific coaches, teammates, teams, or practice arrangements whenever practical, but requests are not guaranteed. Failure to receive a requested assignment does not independently qualify a family for an exception to the standard refund schedule.
A player is considered "placed on a team" once the League formally assigns the participant to a team in its registration or league management system, whether or not the roster has been publicly announced.
3. PARTICIPANT REFUND SCHEDULE
| Registration Milestone | Refund of registration fee |
|---|---|
| Before official team placement | 100% |
| After team placement but before the participant’s uniform order is submitted | 75% |
| After uniform order, before the first scheduled game for the participant’s division begins | 50% |
| On or after the scheduled start of that division’s first game (standard voluntary withdrawal) | 0% (exceptions apply) |
A. 100% Refund — Before Team Placement
Participants who request withdrawal before being officially assigned to a team are eligible for a 100% refund of their registration fee, even if regular registration has closed. If the League is unable to place a registered participant on a team, the participant will receive a 100% refund of the registration fee.
B. 75% Refund — After Team Placement, Before Uniform Orders
Once a participant has been assigned to a team but before that participant’s uniform order has been submitted, the participant is eligible for a 75% refund of the registration fee. the League retains 25% to offset administration, scheduling, team formation, staffing, and related commitments.
C. 50% Refund — After Uniform Orders
Once a participant’s uniform order has been submitted or otherwise committed for production, and before the first scheduled game for that participant’s division begins, the participant is eligible for a 50% refund of the registration fee. the League retains 50% to offset uniforms, equipment, fields, administration, insurance, staffing, and other expenses. The first scheduled game cutoff applies even if the participant does not attend or play in that game. On or after the scheduled start time of the first game for the participant’s division, standard voluntary withdrawals are not eligible for a refund or future credit. Medical injury, serious illness, personal hardship, league cancellation, and other express exceptions remain subject to Sections 5, 6, 11, and 12 and applicable law. For refund-tier purposes, the date and time the League receives the written request, along with its documented team-placement and uniform-order records, control.
D. Payment Processing Fees and Donations
Payment processing fees may be excluded only to the extent actually nonrecoverable, disclosed before purchase, and permitted by law. Voluntary charitable donations are separate from registration fees and are not refundable except where required by law or where UAL Sports (proposed name: Rise Athletic Outreach, Inc.) agrees to return a donation.
4. REFUND REQUEST PROCEDURES
All refund and future credit requests ("Refund Requests") must be submitted in writing through the League’s designated customer service email or approved registration support system. Requests must identify the participant, parent or guardian, state and league location, season and division, reason for withdrawal, and supporting documentation when seeking an exception.
The date and time the written request is received determine the applicable refund tier. the League will verify team placement and uniform-order status. Approved refunds ordinarily will be processed within 14 business days unless applicable law requires a shorter period, generally to the original payment method or another lawful method when that method is unavailable.
5. MEDICAL INJURY AND SERIOUS ILLNESS EXCEPTIONS
A participant whose injury or significant medical condition prevents safe participation may request an exception to the standard schedule. The Registrant must provide a note from a licensed medical professional indicating that the participant cannot participate in the applicable season; unnecessary private medical information is not required.
the League may approve an increased partial refund, a full refund, a future-season credit, or another mutually agreed accommodation, considering circumstances, timing, participation, and costs already incurred. A doctor’s note qualifies the request for consideration but does not automatically guarantee a full refund. the League will evaluate requests fairly and in good faith.
6. PERSONAL HARDSHIP AND EXTENUATING CIRCUMSTANCES
Unexpected serious family illness, death in the immediate family, relocation, financial hardship, or comparable significant personal emergencies may qualify for case-by-case review upon written request. the League may approve an additional partial refund, full refund, future credit, or another mutually acceptable resolution. Requests will be evaluated in good faith; an exception in one case does not automatically establish a precedent for different circumstances.
7. UNIFORMS, MERCHANDISE, AND EQUIPMENT
Once a player’s uniform is ordered, the 50% registration refund tier applies only until the first scheduled game for that participant’s division begins; thereafter standard voluntary withdrawals are nonrefundable, subject to the exceptions in this Policy and applicable law. Separately purchased merchandise, optional apparel, and customized products are generally nonrefundable after ordering, except for manufacturing defects, fulfillment errors, or other rights provided by applicable law. the League will make reasonable efforts to resolve defective or incorrectly fulfilled orders.
8. PARENT AND PARTICIPANT CODE OF CONDUCT
Participants and families must comply with the League’s applicable codes of conduct and rules. the League may suspend or terminate participation for serious misconduct, including threats, harassment, physical altercations, or repeated violations. If participation is terminated for a substantiated serious violation, no refund or future credit will ordinarily be provided, subject to applicable law.
9. FALSE OR MISLEADING REGISTRATION INFORMATION
Registrants must provide accurate information concerning identity, age, eligibility, and placement. the League may remove or disqualify a participant whose registration contains materially false or intentionally misleading information. Refunds may be denied when participation ends due to deliberate falsification, subject to applicable law.
10. WEATHER, GAME CANCELLATIONS, AND SCHEDULE ADJUSTMENTS
Outdoor events may be affected by weather, facility availability, field conditions, air quality, public safety, or other circumstances. the League may reasonably delay, reschedule, relocate, or cancel activities and will make reasonable efforts to provide makeup games when practical. Isolated cancellations or schedule changes do not automatically establish additional refund rights. If a substantial portion of a season cannot be delivered, the League will evaluate appropriate refunds or credits under its cancellation policy and applicable law.
11. FORCE MAJEURE — CANCELLATION BEYOND THE LEAGUE PARTIES’ CONTROL
Extraordinary events outside the League’s reasonable control may prevent, interrupt, or cancel operations. Examples include severe weather, natural disasters, wildfires or hazardous smoke, public health emergencies, government restrictions, unexpected facility closures, civil emergencies, and infrastructure disruptions.
When such events materially shorten, suspend, or cancel a season, refunds and future credits will be governed by the League Parties’ separately adopted Force Majeure Cancellation, Refund & Future Credit Policy, to the extent disclosed and accepted before purchase and consistent with applicable law. That policy should address expenses incurred, services delivered, and appropriate refunds or credits for undelivered services. Nothing here waives mandatory legal rights.
12. SEASON CANCELLATION OR INABILITY TO PLACE PARTICIPANTS
If the League Parties cancel a league or division before the season begins for reasons within its normal operational control, or cannot place a participant on a team, the League Parties will arrange a 100% refund of the registration fee. Extraordinary cancellations beyond its control are addressed in Section 11. If a season is canceled after play begins for reasons within the League’s control, the League Parties will arrange an appropriate prorated refund for the undelivered portion, subject to applicable law.
13. FUTURE SEASON CREDITS
For approved credits, the League will communicate the amount, eligible programs, expiration, and restrictions in writing. Unless otherwise specified, discretionary credits are available for 12 months from issuance, are generally limited to League-operated programs, and cannot be redeemed for cash except where law requires. A credit will not replace a cash refund to which a family is entitled unless the family voluntarily agrees.
